Step-by-Step Instructions

Method 1: Bulk Invitations

  1. Access Member Portal Options:

    • Navigate to the Utilities section.
    • Select Member Portal Options.
  2. Initiate Mass Invitation:

    • Click on Mass Send Member Portal Invitation.
  3. Set Filters:

    • By default, the system will filter out archived members and only include those with mass email enabled addresses.
    • Optionally, you can add filters to target specific groups (e.g., members of a certain activity, leaders, or yourself).
  4. Select Eligible Members:

    • Review the list of eligible members who have an email address and are mass email enabled.
    • You can uncheck all members and select them individually or check all to include everyone.
  5. Schedule Sending:

    • Choose whether to send the invitations immediately or schedule them for a later time.
    • Select the email address from which the invitations will be sent (must be a verified email address).
  6. Customize the Invitation:

    • Edit the message that will accompany the invitation.
    • Use merge fields to personalize the message (e.g., inserting the member's first name).
    • Include the invitation URL as a button or link.
  7. Preview the Invitations:

    • Review the scheduled invitations to ensure that the merge fields display correctly for each member.
  8. Send Invitations:

    • Once satisfied with the preview, click Send to dispatch the invitations to all selected members.

Method 2: Individual Invitations

  1. Access Contact Information:

    • Navigate to the Contact section to browse member details.
  2. Check Member Eligibility:

    • Ensure the member has an email address and is eligible for the member portal based on their personal status (e.g., former member, member, visitor).
  3. Send Login Invitation:

  • Under the member's contact details, locate the Member Portal Access section.
  • You can edit access settings, send a login invitation, or manage their visibility in the online member directory.
